Direct Bank Feeds

From within Phoenix, transactions from your bank may be retrieved daily straight into your Phoenix account data.

How It Works

  1. Use Phoenix to apply for a direct bank feed for your bank account. Fill out and submit the application form that Phoenix provides, as required by the particular financial institution.
  2. Once set up and approved by your bank, transactions for your account are sent daily by your financial institution. These transactions are automatically and securely collected. The bank transactions are downloaded to your Phoenix data when you run Phoenix and choose to "update".
  3. Use the downloaded bank transactions to both:
    • Match with Phoenix transactions you've already entered;
    • Quickly add transactions not yet entered in Phoenix.
  4. In both cases, the Phoenix transactions are automatically cleared ready for later reconciliation

Match to Card File on Add Transaction

When adding a new Phoenix transaction from Bank Transactions:

  1. Phoenix uses the narrative detail from the bank's transaction to try to find a matching card file entry for the Pay to/From field of the new transactions.
  2. The user may enable or disable this feature.

Bank Statement File Import

Use the import option where you manually download transactions or statements from your bank's online internet banking website. Once downloaded, quickly import the transactions to gain much of the advantages provided by the alternative direct bank feeds option, including:

How It Works

  1. From your bank's internet banking site, choose to download transactions in Open File eXchange (OFX) format.
  2. In Phoenix, import the downloaded file. Phoenix will:
    • Check that the account number is correct - so you don't import transactions into the wrong account;
    • Import the bank transactions, while checking for and preventing possible duplication of any previously imported bank transactions.
  3. Use the imported bank transactions to both:
    • Match with Phoenix transactions you've already entered
    • Quickly add transactions not yet entered in Phoenix
  4. In both cases, the Phoenix transactions are automatically cleared ready for later reconciliation

Both OFX and CSV File Import

  1. The OFX is preferred. No need to manually identify import fields for Phoenix.
  2. When the preferred OFX file format is not available, bank transactions can be imported in CSV (comma separated value) format.
  3. Unlike the OFX format, the CSV format requires the user to manually identify the fields in the import file.

  1. Eighteen pre-defined periods are available, plus the custom User Specified period:

  2. The Business Year-to-date and Previous Business Year options only appear if the Business Period set is neither a Financial nor Calendar year.

Other Reports

Trial Balance, Net Worth and Ratio

  1. Significant speed improvements have been made for the Trial Balance, Net Worth and Ratio financial reports.
  2. The improvements are experienced for data with high numbers of open item customers and/or suppliers.

List of Entries and Age Balance reports for open item Customers and Suppliers

  1. Significant speed improvements have been made for the List of Entries and Age Balance reports.
  2. The improvements are experienced for data with high numbers of open item customers and/or suppliers.

Transaction Entry

  1. Transaction entry has been improved for wider screens.
  2. 'Pay to' / 'From' Selection in Transaction Entry - Improved
    • The drop-down list for selecting a card file entry has been improved with wider columns to display the name, account type and address for each entry.
    • The Account Type field in the drop-down list now shows if the card file entry is both a customer and a supplier. Previously it would only show it the entry was either a customer or supplier. It would show only one or the other if the entry happened to be both a customer and a supplier.

Reconciled Accounts

  1. Credit Card, Loan and Stock Firm accounts may now optionally have a BSB number.

Invoicing - Open Item

  1. Statement Comment History
    • Manage statement comments much more easily while viewing or entering an invoice.
  2. 'PAID' Watermark
    • Paid invoices now view and print with a large PAID watermark on the page.
  3. Mobile phone numbers have been added to invoices.

Pay Suppliers

  1. On completion of processing the payments, Phoenix confirms the number of payments successfully completed.

Electronic Fund Transfers

  1. Selection of the online banking site, or the bank application, has been improved.
  2. The user interface for selection of transactions for payment has been improved.

Fuel Tax Credits

  1. Receive updates to Fuel Tax Credit rates via the Phoenix Updates cloud service, without having to upgrade the Phoenix program.

Category Setup

  1. Predefined Categories

    • The list of predefined categories has been simplified and updated.

      Note: predefined categories are not used on Phoenix Live or Phoenix Multi-user.

  2. Organise Categories form has been updated.

Browse

  1. Row height has been doubled to better show each entry in each column.

Financial Notebook

  1. Improvements have been made to make the Notebook easier to use.

Financial Options

  1. Context sensitive help is now available. Press the F1 key, or click the Learn More link.
  2. The Advanced tab is now easier to understand, with options shown in separate groups of Transaction Entry, Reconciliation and Reports.
  3. A new option has been added: 'Show Reminder on Save when Date is outside the Period' See the Advanced tab.
  4. General tab: 'List Periods and Months with Newest at the Top' replaces the old 'List Periods and Months in Descending Order' option.
  5. Advanced tab: 'Ask for Confirmation Before Writing Off a Transaction' replaces the old 'Confirmation Message on Write Off' option.

Budgets

Launching from the Toolbar

  1. The chosen budget program, Budget Planner or Power Budgets, is now shown in the main Suite toolbar and menu, and in the Financial module toolbar and menu. This means that you can now be confident of which budget program you are launching.

    Note that the budget program normally used is still chosen via the Options setting from the Suite window.

  2. In both the Suite screen and the Financial module, the alternate budget application to that chosen as the default application can now be selected via the drop-down menu from the Budget toolbar button.

Easier Identification of Functions

  1. Icons have been added to the right-click menus in the budget sheet. This is to help easier identification of the desired function or option.

Charts

  1. The overall look and colours for the budget charts have been modernised.

Livestock

New "Sales and Purchases" Report

Limit Loading of History for Inactive Animal

This improves loading times for Livestock data with large animal numbers.

  1. By default, Phoenix now limits loading of inactive animal history to the past 13 months.
  2. You may alter this default and choose the number of months of inactive animal history that is automatically loaded.
  3. Additional months of inactive animal history may be loaded on request when needed.

Other Speed Improvements

  1. Load speed has been improved for datasets in which very large numbers of products are recorded.
  2. Speed when linking a Financial transaction to a Livestock record has been improved for large datasets.

Cropping

  1. Nutrient Application Report:
    • The layout has been improved to allow for more text to be shown.

Spatial Data Library

  1. URLs updated for all states.
  2. New NSW LPI servers added, including satellite imagery and cadastre layers.
  3. NATMAP (National topographic dataset)
  4. QLD Topographic (1:25,000 topographic dataset for QLD)

Toolbar Button Size Increased

The Mapping toolbar button size has been increased.

  1. You can allow the program to set the button size:
    • Automatic
  2. Or, you can choose the button size:
    • Small
    • Large

Other Improvements

  1. Main Windows - All Modules
    • When opening a module for the first time, the window is intelligently shown based on screen resolution.
    • When a module is opened and would be partially off the screen, it is moved and resized to ensure it is completely shown.
